Amazon told our client: "We cannot accept an order confirmation as an invoice unless it contains an order confirmation number and shipment tracking number."
Can't even count how many times an Amazon customer has bought a brand-new item from us and returned a knockoff or switched out their old beat-up version
Here's exactly how to handle return fraud for FBA and FBM:
1. FBM where Amazon already refunded (most common for FBM sellers)
If Amazon auto-refunded at the first scan or you missed your 4-day window after the item came back to you, you have to fight for your money back via a SAFE-T Claim.
You now only have 30 days from the date of the refund to file.
State that the item has Zero Resale Value. Upload your photos comparing the original listing vs. what was returned.
If Amazon offers a 50% reimbursement, appeal it. State that "Partial reimbursement is insufficient for a materially different item that cannot be resold."
2. FBM Option 2: You still have the money
As of early 2026, you have a 4-calendar-day window to inspect a return before Amazon auto-refunds the buyer. Do not just click "Refund."
Use the Guided Refund Workflow (GRW) inside Manage Returns.
If the item is "materially different" (wrong brand, used version, or a brick), select that reason and deduct up to 100% of the price.
You MUST upload clear photos showing the fraud next to the shipping label.
Message the buyer before you finalize: "We received the incorrect item. We’ve paused the refund to find a resolution. Are you able to return the item you purchased from us soon?" This message is your best defense if they file an A-to-z claim. Doubtful it ever becomes a real conversation.
3. FBA
With FBA, you don’t see the fraud until the item is sent back to your warehouse via a Removal Order.
You have 60 days from the delivery of your removal order to file a dispute.
The "6-Side Rule": To win, you need photos of all 6 sides of the item, the LPN (or X00) label, and the removal packing slip. The LPN label is what proves which specific customer committed the fraud.
File under FBA Inventory Reimbursement > Removals. Use the phrase: "Removal order [ID] contains a materially different item with zero resale value."
4. If you're feeling like messing with the buyer back...
Amazon lets you flag their account for eventual suspension if this is a pattern for them.
The 2026 Click-Path:
Go to Performance > Account Health.
Click "Report an abuse issue"
Select "Report a buyer violation" > "The buyer returned a different item."
Include the Order ID and the LPN number from the return.

Never use the term gated when talking to amazon. Use **restricted**, gated is a community term and you are immediately put in the reseller/counterfeit seller pool. They have notes for every account that will follow you in appeals.
