Shadow IT: A Hidden Risk to Your Organization

Shadow IT occurs when employees use unapproved software, cloud storage, applications, or AI tools to perform company work—often with good intentions, but without proper security oversight.

Examples may include:
- Uploading company information to personal cloud-storage accounts
- Using unapproved AI platforms to process sensitive data
- Installing unauthorized applications or browser extensions
- Sharing files through personal email or messaging accounts
- Purchasing technology outside established IT processes

These shortcuts can expose organizations to data loss, cyberattacks, regulatory violations, and the unauthorized disclosure of proprietary, CUI, export-controlled, or classified information.

The solution is not simply blocking technology. Organizations must provide secure, approved tools that meet operational needs while educating employees on the risks of bypassing established processes.

If a tool makes work easier, employees should ask before using it.
