Build Your Prospect List (Day 1)

Stop thinking about YOUR site. Think about who writes about topics related to what you do.

Example - you run a VPN company. You're not looking for "best VPN" keywords. You're looking for sites that rank for:

- "how to browse anonymously"
- "best privacy browsers 2026"
- "is incognito mode safe"

These are keywords your TARGET sites rank for - not you.

Pick ONE category. Find 30+ keywords they'd rank for. Extract
every site ranking for them using PitchBox, Semrush, or a VA with an n8n workflow.

Target: 200-300 prospects minimum.

Filter aggressively:

- DA 20+ (below this isn't worth your time)
- Traffic 1,000+/month (proves the site is alive)
- NO link farms, guest post mills, or forums
- Active in the last 6 months

Then find your contact - small sites have a form or email on their about page. Larger brands, use Hunter to find their head of content.

Set Up Your Outreach Machine (Day 2)

Platform - PitchBox, Instantly, whatever you like. The tool matters less than the process.

Sending setup:

- Branded domain ([email protected], NOT [email protected])
- 30-50 emails/day per inbox
- 2-3 inboxes to scale volume
- 2 automated follow-ups (day 3 and day 7)

Now - your offer. This is the most important part. Nobody cares that you "love their blog."

Bad: "I love your blog, would you mind linking to my site?"

Good: "I'd love to feature you in a guest post I'm writing for [Site, DA 45] - would you be down to link back to my blog in return?"

Give them something. A guest post. A mention in a roundup. Make it a trade, not a favor.

Follow Up and Handle Replies (Days 3-7)

- Set aside 30 minutes per day. Check replies, respond fast, negotiate terms, track everything.
- Some sites will ask for money. That's normal. Here's how to handle pricing - anchor LOW, negotiate up:

Them: "We charge 500 bucks for link placement💅"

You: "Totally understand. That said, we have a maximum budget of $100, as per our client's request. That said, my manager thought we have a really good content fit, so we can go a bit above that for $120. Works?"

Common objections:

"We don't do link exchanges"

"No problem - would you consider a guest post instead? I'd write for any keyword you want to target."

"Not interested"

Move on. Don't argue. There are 1,000 other sites on your list.

Close Deals and Track Links (Days 5-8)

By day 5, expect 20-40 replies from 200-300 emails (10-15% reply rate is normal). You should close 10-15 links.

For every deal, track the URL, anchor text, go-live date, cost, and contact info for future outreach.

Once a link is confirmed, verify it:

- Link is dofollow
- Anchor text matches what you discussed
- Link isn't buried in a footer or sidebar
- Page is indexed

Push Stragglers and Send a Second Wave (Days 8-10)

Three things:

First - nudge prospects who said yes but haven't delivered. "Hey, just checking in - any update on when that link goes live?" Simple.

Second - send a second wave to non-responders with a different angle. Sometimes the timing just wasn't right.

Third - review your numbers. What reply rate did you get? Which template worked best? Which sites were easiest to close? What was your cost per link?

These numbers tell you exactly what to optimize for your next sprint.
