When should you use #PowerAutomate Approvals vs. build your own custom approvals? 🤔 💭
Consider these points 👇
1️⃣ Sequential Approvals
Power Automate approvals lack the features to make sequential approvals a great user experience. The approvals history displayed to the user only shows themselves and the sender. Not the entire chain of approvals.
There is also no “reject to previous level button.” Instead, approvers are left with two non-ideal options. “Reassign” which should not be allowed in sequence approvals or “Reject” which is not clear if it means “no” or “no, please resubmit”
2️⃣ Duration Over 30 Days
The maximum lifespan of a flow is 30 days. Once it reaches 30 days the approval will be cancelled. Yes, there are ways a flow can be “restarted.” But I believe approvals should not exist in a state where they can lapse due to timeouts. We don’t want them to be fragile.
The user will also get a 2nd message about the approval with no trace back to the original. This is potentially confusing. They might believe it’s a duplicate request.
3️⃣ Approvals History
I should also mention that the approvals history will not appear anywhere after 30 days due to the flow history limits. Auditability of approvals is key. You’ll need to record the history somewhere else to keep it.
4️⃣ Approvals Center
The Teams Approvals app may be disabled for the organization. To have the best experience with Approvals this should be turned on. If not, you’ll want to build another custom solution to centralize the display of approvals. Keep in mind - approvals runs on Dataverse tables which will make a custom app require premium licenses
