I'm a key account manager in Swiss tech distribution. On the side I build AI tools and agents, some for my sales work and some for everyday problems, like an admin tool for our local club.
I like testing new tech, and here I share what actually worked for me and what didn't.
Prep a client meeting in 5 minutes without leaking data:
1. ChatGPT with @ExaAILabs and @firecrawl plugins: research the company. No client data.
2. Company-approved Copilot: add your internal notes and history.
3. Ask for 3 questions and 1 risk.
4. Check every fact.
“Make the interface look better” is a weak prompt.
A better workflow:
1. Audit the current UI
2. Generate a visual direction
3. Approve the direction
4. Implement it with the existing design system
5. Test the result
Visual decisions should happen before code.
Long AI tasks drift when the plan exists only inside the chat.
For larger projects, I now prefer three simple files:
- Plan
- Findings
- Progress
The agent can check them throughout the work. I can inspect them too.
Simple, visible and easier to control.
An AI marketing system should not publish more content.
It should create a better feedback loop:
Research → draft → human review → publish → measure → improve
Remove the review step and you have faster content.
Keep it and you may get better content.
AI assistants rarely fail because the model is not smart enough.
They fail because every new chat starts without context.
A useful setup knows your projects, priorities, writing style and safety rules before the first prompt.
Context beats clever prompting.
Most AI workflows do not need another tool.
They need a clear sequence:
1. Collect the right context
2. Let AI do one defined task
3. Review the output
4. Save the result where work already happens
The integration is often more valuable than the app.

Most AI content asks: Which tool should you use?
A better question: Which recurring task should you improve?
Choose one task that costs 10 minutes a day. Test the same workflow three times. Keep it only if time or quality improves.
What would you test first?
The most dangerous AI output isn’t bad writing.
It’s a confident answer that is almost right.
My check before using AI research:
– Open the source
– Check the date
– Verify the number
AI can speed up the work. It can’t own the responsibility.
A simple AI workflow before a sales meeting:
1. Analyse the company website
2. Summarise the business model
3. List 3 possible pain points
4. Draft 5 discovery questions
5. Verify every important claim
AI doesn’t replace discovery. It helps you arrive prepared.
