Rules to complete tasks without piling up work
1. The 5-second rule to start
When you feel reluctant to turn on the computer to work or call a client, count down 5-4-3-2-1 and immediately start with just the very first action. Once you get going for 1-2 minutes, the momentum will come naturally. The goal is to get past that moment of hesitation, not to finish everything right away.
2. The 2-minute rule
Any task that takes less than 2 minutes—handle it immediately. Reply to messages, confirm appointments, save documents in the right place, wash the cup, put away the shirt, … If you let these small things pile up, you'll end up spending extra time later remembering and checking them. Set a reminder for yourself: whenever a task under 2 minutes appears, finish it before moving on to something else.
3. The “do not do” list
Create a separate list of unnecessary things: constantly checking social media, using your phone for entertainment while working, … Every morning, look at this list to remind yourself to avoid them. This way, you'll have more time to focus on your actual goals.
4. Finish one thing before switching to another
Whatever you're doing, stay focused and finish it before moving on to the next task. For example, if you're finalizing a document, don't draft it while also replying to messages. Jumping back and forth between tasks will kill your momentum, make mistakes more likely, and double the time needed.
5. Pomodoro rhythm 25-5
Set a timer for 25 minutes of focused work, then take a 5-minute break to stand up, relax, and drink water. Repeat for 4 rounds, then take a longer break of 20-30 minutes. This method prevents your brain from getting overloaded, especially during continuous mental work.
6. The 1-3-5 principle for a day
Plan for each day:
+ 1 big task that must be done (e.g., submit the project report)
+ 3 medium tasks that need to be done (e.g., contact and talk to partners)
+ 5 small tasks that need to be done (e.g., reply to messages, emails)
Completing exactly this list means you've won the day. Don't add more.
7. Tackle the hardest task first
Pick the one hardest or most important task and do it first thing in the day. Once that's done, everything else will flow much more easily.
8. Break big tasks into smaller pieces
Large projects can easily discourage you—split them into smaller parts, each taking 30-60 minutes. Give each part a clear deadline. When you can see the next specific step, you'll stop procrastinating.
9. The 80/20 principle: Choose tasks that deliver high results
Which 20% of tasks bring the most results for your role?
+ For Sales: calling and meeting clientsFor Marketing: writing scripts, running campaigns
+ For founders: recruiting people, meeting partners
+ …
Hopefully this information will be useful to you. Wishing you success in your work and studies 🥰
