If you use a third party to hold data (such as a payroll company) and they experience a breach, YOU must also inform the ICO.
You are still responsible for that data and must ensure that it is protected.

You need to secure both digital & hard copies of data.
If you keep all of your client's information in a filing cabinet, that will still need to be secured in order to be GDPR compliant.

If you're going to collect data from clients, consider data minimalisation.
What is the minimum amount of data you need to collect to run your business?
Do you need their date of birth? Spouse's name?
If not, don't ask for it!
