Recently, after advertising PhD positions in our lab, we received many emails. After looking at some of those (check the pictures with names hidden), I thought of writing this to help anyone searching for a PhD or postdoc position.
Remember that your first impression often comes from your email.

Here are some key tips to help you reach out to potential supervisors effectively:

Target Relevant Professors: Contact professors whose research aligns with your interests. While the focus doesn’t need to be identical, there should be a connection. For instance, an email from someone in Animal Sciences to a professor in Electrical Engineering is unlikely to succeed.

Do Your Homework: Do some research about the person’s profile and research interests before you send them an email. It would be best to read their latest publications to see if your work fits within their expertise.

Craft a Clear Subject Line: The subject line should be concise and informative. It’s not the place for lengthy explanations.

Be Concise and Highlight Key Points: Write a brief email focusing on the most relevant aspects of your background. Bold important keywords to grab attention. Avoid lengthy emails with unnecessary details! On the contrary, avoid being too concise: “Hi, I want to apply for a PhD position!”

Avoid common mistakes: Rarely would someone hiring you for a PhD position be interested in your religion, hobbies, passport numbers, marital status, etc. Delete those!

No Response?: If you don’t hear back, it could mean you're not eligible, there are no open positions, or you weren’t shortlisted. Professors receive hundreds of emails and may not respond individually. If you must follow up, wait at least two weeks before sending a gentle reminder. Sending frequent reminders within just 2-3 days is not polite.

Remember, professionalism in your communication can set you apart from other candidates.
