What my Grok Bot agent team did this week, with no code:

X Watch scanned X every weekday morning for what local service businesses are struggling with.

Shorts Producer turned post ideas into short videos.

Lists built prospect lists.

Social scheduled my posts through Buffer to X and LinkedIn, plus YouTube Shorts.

Ops kept my tasks and inbox in order.

Coordinator set my priorities at 8:45 every morning.

Each one has one job. Nothing goes out until I approve it.

That's the whole trick.

@TradeAIIndex Simple is always better especially for a trades owner.

I counted more than 15 new "AI receptionist" brands for HVAC and plumbing on X this weekend.

Same promise every time: answers 24/7, books jobs, turns missed calls into revenue.

None of them showed a number.

Here's the only pitch a shop owner needs:
Put in your missed calls per week. Multiply by your average job. That's what voicemail cost you last month.

Show them the leak first. Then sell the fix.

@LeadClaimHQ This way the Owner owns the outcome. See what I did there? 😃

ElevenLabs just launched an AI receptionist for small businesses. You give it your website and it answers your calls.

Great voice. But the voice was never the hard part.

Before I let any AI receptionist answer a real call, I run three fake ones:

Ask the price of something.
If it makes up a number, it's not ready.

Ask about a service you don't offer.
If it says yes, it's not ready.

Say "water is coming through my ceiling."
If it offers Tuesday at 2, it's not ready.

The best AI receptionist knows when to hand the call to a person.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

@SunCoastAiLab Solid rule for AI Agent training. It can't make stuff up either.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

Before you buy an AI receptionist, ask one question:

"What did it score on a test before it answered a real call?"

Not the demo. A test. Fake callers asking about prices, emergencies, and things it doesn't know.

If it makes up a price, it's not ready.

The best receptionist isn't the one that talks the most. It's the one that knows what it doesn't know.

@ViralKumar2841 This is where the real agency work comes in.

If I ran a garage door company, these are the 3 jobs I'd hand an AI agent first, with the exact prompt for each.

Missed calls:
"Text back every missed call within 60 seconds. Ask if the door is stuck open or a car is trapped inside. If yes, text the on-call tech now and tell the customer help is coming. If not, offer two times."

Cold quotes:
"Text every opener or new-door quote older than 14 days. Name the job and ask if they still want it done. Offer two times."

Reviews:
"Two hours after a job is marked paid, text a thank-you and a link to leave a Google review."

Rule one: a door stuck open at night never gets an appointment slot. It gets a person.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

@SunCoastAiLab Thorough testing is the step most agencies fail.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

@TradeAIIndex Giving the client visibility to the ROI builds so much value.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

@LeadClaimHQ There is so much business value in the basics.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

People are mad at AI receptionists today. "Took 20 minutes to book." "Hung up on me."

That's not an AI problem. It's a scope problem.

The receptionist tried to do everything.

The best setups I build do one job: answer, qualify, book. And if the caller drops off, an AI text follows up within minutes with their actual job named.

One job, done fast, beats a bot that does everything badly.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

@LeadClaimHQ An you know the owner is open to those calls, even a test.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

@AgentForgeTrade Exactly, just offering a an AI agent without a job to do isn't a solution.

How to find the first job to hand an AI agent in 10 minutes:

Step 1: Pick an HVAC shop near you.

Step 2: Call at 7 PM.

Step 3: Let it ring. Hang up if it goes to voicemail.

Step 4: Start a timer.

If nobody texts back in 60 seconds, you've found the job.

An AI agent can text that caller back, ask what's wrong, and get the details before they call the next shop.

Most shops fail this test.

Try yours tonight.

@DropHammerai This is the future and you're clearly leading the way.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

@ViralKumar2841 good point, these agents are getting better and better every day. The agent is only as good as the prompt and/or knowledge base.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

@technoSaas @bot they ar proving to be really valuable because they are tapped into all the tools and tasks.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

@tryentitle Nothing wrong with the AI agent having some personality. 😄

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

If I ran an electrical contractor, these are the 3 jobs I'd hand an AI agent first, with the exact prompt for each.

Missed calls:
"Text back every missed call within 60 seconds. Ask if power is out or anything is sparking. If yes, mark it urgent and text the on-call electrician. If not, offer two times."

Cold quotes:
"Text every panel upgrade or EV charger quote older than 14 days. Name the job and ask if they still want it done. Offer two times."

Reviews:
"Two hours after a job is marked paid, text the customer a thank-you and a link to leave a Google review."

Same agent. Different trade. Steal the prompts.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

Great question. In this possible setup the AI answers the text first, so the customer isn't left waiting. If it's urgent (no heat, a leak, anything with a safety risk), it pings the on-call tech and a backup at the same moment. Whoever confirms first owns the job. If nobody confirms in 10 minutes, it goes to the owner's phone.

You're right about the order. Set up the routing first, then turn on text-back.

[Mark Lindheimer | AI for Service Businesses @MarkLindheimer]

A tech replied to my HVAC post:

"I can't babysit five agents. Which one runs without a human checking it?"

Fair question.

The one I'd trust unattended:

Missed-call text-back. Same script every time. "Sorry we missed you. What's going on and how soon do you need us?"

The four I'd still approve from the truck:

After-hours intake. You decide what counts as an emergency.

Quote follow-up. Pricing questions need you.

Review requests. Skip the job that went sideways.

Seasonal tune-up reminders. Check the list before it goes out.

Approving takes 10 seconds a message.

That's not babysitting.
