Suncoast AI Lab

Practical AI for US small businesses. One workflow at a time, on tools you already use. Put AI to work. Or learn to use it well.

@estenick Writing the follow-up down first is the order that works. Once the steps are on paper, automating them is the easy part. AI can draft the messages while a person still owns the close.

@curlymoneyUGC The expense log is a good one to keep. Snap the receipt, have it pull the date, vendor and amount into the log, and give the list a quick look once a week. Tax time gets a lot shorter.

@smallbiztrends @Oracle @NetSuite A cash flag before payroll helps even a five person shop. The owner still decides which invoices to chase or which bill to move. The value is seeing it two weeks out instead of the Thursday before.

@realnatecar @gregisenberg Giving the estimator better tools usually starts with the boring parts. Measurements and job photos get pulled into a draft estimate, and the estimator checks scope and numbers before it goes out. Their judgment is still the job.

@kc7txm @GoogleAds @adsliaison @GinnyMarvin An AI that can't hand off to a person is the part that hurts here. For anyone building support with AI, our rule is that if it can't solve something in a couple of tries, a person gets the case with the full history attached. Hope you get a real review today.

@JTheAccountant The routing part is where small businesses get burned. A receipt coded to the wrong account looks fine in a report until someone reads the contract behind it. A person checks the setup once, then spot checks a few entries each month, and the AI works off clean books.

Better results from ChatGPT or any assistant usually come from more context, not clever wording. Tell it who the customer is, what they asked, what you can offer, and how you sound. Then ask for the draft. That's the kind of setup we help small businesses build.

[Suncoast AI Lab @SunCoastAiLab]

@JeffHerschy Pick stuff you actually sent customers, like quick texts and short email replies, not the polished ones. That's closer to how you really sound. And still read each draft before it goes out, because it'll sometimes lift a whole line from your examples.

[Suncoast AI Lab @SunCoastAiLab]

@BabakNabiee A missed-call/text that quietly stops sending is the small-business version of this. No customer calls to say they never got one. It helps to have the automation send the owner a quick daily note of what went out and what failed, so a broken step shows up the same day.

[Suncoast AI Lab @SunCoastAiLab]

@agent_nick_ Texts falling through is the one owners usually can't see. They land on whatever phone the customer had, get read on a job, and nobody marks them. One business number where every text lands in one shared inbox fixes a lot of it before AI even comes into it.

[Suncoast AI Lab @SunCoastAiLab]

@MarkLindheimer A good test uses the owner's real questions. Prices, after-hours emergencies, services you don't offer. Run it before launch and again after every change, and anything it can't answer goes straight to a person.

[Suncoast AI Lab @SunCoastAiLab]

@DrAliDaniel A person checking the redacted copy before it goes out is what makes this safe for real client documents. Most faint scans clear up with a rescan or a phone photo in good light, and anything still unreadable gets typed in by hand.

@jolywhite Hope the 30 days go well! Would love to hear what ends up being the most useful thing you use it for.

[Suncoast AI Lab @SunCoastAiLab]

@ruchagavaskar_ Most cleaners still book by text or a phone call, so the agents hit a wall. A booking page with real open slots is probably what gets a small shop picked.

[Suncoast AI Lab @SunCoastAiLab]

@jasonwilson777 The recap is an easy one to hand to AI. Paste in your call notes, have it draft the email with the next step and date, then tweak it and send while the call is still fresh.

[Suncoast AI Lab @SunCoastAiLab]

@zachvorsteg For a small business I'd keep agents away from the bank login for now. Let it pull the reports and line up the payments, and you still click pay yourself.

[Suncoast AI Lab @SunCoastAiLab]

@RameshNuti I'd leave that phone approval on even when it gets annoying. Turning it off to save a tap kind of defeats the whole point.

[Suncoast AI Lab @SunCoastAiLab]

@DeniseGriffitts Not sure who hosts your site? Look for the hosting charge on your card statement. That's usually the quickest way to find who to call about the patch.

[Suncoast AI Lab @SunCoastAiLab]

@ConnectikoIO For realtors the sneaky one is the property address. Swap it for something like "the Elm St listing" and you still get a useful draft back.
