I just built a complete AI rent-tracking system using a custom Grok bot—and it’s pretty incredible what it can do.

Here’s how I set it up:

1.) I created a separate Gmail account used only for rental payments and tenant communication.

2.) I connected payment notifications from Venmo, Zelle, Cash App, Section 8/Housing Assistance and other payment sources to that email.

3.) I built a Google Sheet containing every property, tenant, monthly rent amount, due date, email address, payment source and payment status.

4.) The Grok bot reviews incoming payment emails, identifies the tenant and property, matches the payment amount and updates the rent spreadsheet.

5.) If rent hasn’t already been paid, tenants receive an automatic reminder five days before their due date.

6.) If rent becomes past due, the system sends scheduled follow-up emails as the month progresses—without bothering tenants who have already paid.

7.) I also receive regular summary emails showing who paid, who still owes, partial payments, Section 8 portions and anything that needs my attention.

The spreadsheet remains the master record, so I can add tenants, change rent amounts or add properties and the system follows the updated information.

This is the kind of automation that saves real time!
