A portfolio does not need to contain everything. Choose a small, relevant group of works for the recipient, keep image sizes consistent, and include titles, media, dimensions and one reliable contact link. A focused selection is easier to review than a complete archive.
When you finish a new work, record the title, date, medium, dimensions and one clear image before moving on. Doing it while the details are fresh is quicker than reconstructing them months later.
For a collector, keep the invoice, artist correspondence, exhibition labels and condition photos together with the artwork record. Provenance is much easier to maintain when the paperwork has one home from day one.
