Controllers at independent oil sands contractors hear "AI isn't relevant to us" a lot, but nobody has tested that on the tickets.
The line has a real source.
In Q2 2026, 40.0% of businesses told Statistics Canada AI was not relevant to the goods or services they sell.
Read that question again.
It asked about what a company sells.
For your company, that is the haul, the lift, the weld, the rig move.
AI does none of that. On that point, the 40.0% are right.
But the survey never asked about the paperwork that follows the work.
That is your desk. So the test belongs there too. ๐
Here is a test you can run in 1 evening, with 5 made-up tickets and a pen.
Step 1: count the re-keys.
Pick 1 job from last month.
Write down every system its hours got typed into.
Billing. Payroll. The client's portal, which is the operator's online billing site.
There is the seam: 1 job, typed 3 times, by hand.
Step 2: build 5 fake tickets that look like yours. ๐ง
Invent the client, the crew, the hours and the PO line, meaning the purchase order row it bills against.
Blur 1 photo on purpose. Leave 1 signature box empty.
Keep every real name and real rate out of it.
Step 3: hand the 5 to the AI that came with your work account.
That is Microsoft 365 or Google Workspace. Check your plan before you assume.
Ask for 1 row per ticket: date, crew, hours, PO line, rate.
Then hold every row up to your rate sheet and check it yourself.
Mark 3 columns: right, flagged, missed.
That evening is The S.E.A.M. Method at desk size.
Spot the seam where hours get typed again.
Extract each ticket into 1 row.
Apply your own checks: the rate, the PO line, the signature.
Make one approver: you read every row and sign off. The AI only drafts.
So now you hold something the 40.0% figure never gave anyone: a count from your own paper.
Take that page to your CEO the next morning.
3 columns, 5 tickets, and 1 question at the bottom.
"Which paperwork job should we test next?" โ
The CEO decides what happens next. You brought the evidence.
Why this month is a good one.
Statistics Canada, Q3 2025: 14.5% of all Canadian businesses planned to use AI.
In mining, quarrying and oil and gas, the figure was 3.4%.
Therefore the controller who runs this count now is early in this sector.
If 1 job typed into 3 systems every month is something you'd hate to see,
then comment REKEY and I will send you The Re-Keying Map Worksheet.
"Not relevant" is a fair answer about the work, but your tickets get their own vote.
Let's test where AI is relevant to your own paperwork, not just the work you sell.

Still on site, still on rotation. Views are my own. Oil Patch AI Systems is independent and is not affiliated with, or endorsed by, any operator, past or present.
Owners of independent oil sands contractors have one job that rarely makes it to an invoice: the "while you're here" job.
Anyone who has worked rotation has seen it happen.
The crew is packing up at the tailgate.
A client hand walks over.
"While you're here, can you check that pump?"
Of course the crew agrees. The work is real, and the client wants it done.
But nobody hands over paper for it.
The crew lead means to note it once the shift ends.
By the end of a 12-hour day, that note rarely happens. ๐
So the job is done, but no work order exists.
No work order means no PO line to charge it to.
A PO line is the purchase order row a charge has to match.
So the job you can see is the tip.
Under it sit the missing work order, the missing line and the missing ticket.
The common answer is another form on the clipboard.
But nobody at the end of a 12 wants a longer clipboard.
The record has to come from the work itself, in the moment.
That turns this into an owner's call, not a desk task.
Here is the decision to make this month.
Sign 1 rule for every crew: no add-on starts without a 20-second voice note or a photo. ๐ง
Name 1 person who owns the Friday list.
Then read that list yourself for 4 Fridays.
That is The S.E.A.M. Method, run on the tailgate seam.
Spot: the voice note is the moment the ask happens.
"Pump on the east skid, their lead hand asked, 2 of us, about 2 hours."
It goes straight from the crew's own phone into the company's Microsoft or Google files.
Extract: an AI assistant writes a draft work order from that note.
Apply: it searches the open POs for a line that fits, and flags the draft if none does.
It also drafts the written approval request for the office to send.
Make one approver: your coordinator closes or chases each draft on Friday.
The AI drafts only. Billing and sending stay with a person.
Every work order keeps a link to its voice note and the name that approved it.
So the Friday list either comes out empty or gets worked down to empty. โ
The cost of waiting is quiet, but it is real.
Every week without the rule, the same spoken add-ons finish with no paper.
Therefore the cheapest week to start is this one.
Owners who run their yard this way keep 1 object on the desk: the Friday add-on page.
๐ If add-on work that finishes with no paper is not something you wanna live with,
then comment UNBILLED and I will send you The Weekly Unbilled Work Report Template.
The pump still gets fixed when a client asks, and now it gets billed too.
If the tailgate ask that never becomes a work order is your leak, let's find where AI fits in.

I still work out here on rotation. These views are mine alone, and Oil Patch AI Systems is independent of every operator I work for or have worked for: no affiliation, no endorsement.
CEOs of independent oil sands contractors sign payroll every 2 weeks, but few can see which open invoice is paying for it.
Payroll runs on a calendar you set.
Cash runs on a clock you only half control.
Suncor's published terms are net 60 from the date on the invoice.
Canadian Natural's are net 45, and those days start at a successful submission.
The portal is the operator's online billing site. Net 45 means pay is due 45 days on.
So a rejected invoice does not pause that clock.
It waits for the clean one. โฑ
The old belief is that cash is a collections problem.
Chase harder. Call sooner.
But a lot of the gap opens before the invoice even exists.
It opens in the hand-offs inside your own office.
I spent 12 years on rotation, and I know where a signed ticket goes.
It rides in a truck door for days.
The binder comes to the office at crew change.
One desk keys it into an invoice. Another keys the invoice into the portal.
At every hand-off, a rate, a signature or a PO line can go missing.
Every charge has to fit a PO line, one row of the client's purchase order.
This month's decision sits with you, not the desk. ๐
Ask your controller for 1 page by Friday.
Every open invoice, laid on the payroll calendar.
Beside each one, the payroll Fridays it spans.
Then sponsor The S.E.A.M. Method on that one seam, and run it as a loop.
S: Spot. The crew lead photographs the signed ticket in the cab. It saves to your company's own Microsoft or Google account.
E: Extract. An AI assistant reads the PO line, rate, hours and signature into 1 record.
A: Apply. It runs the common rejection checks, then places each invoice on that calendar.
M: Make one approver. Your billing coordinator signs every draft before anything goes to a portal.
The AI never submits. A person does.
Each lap leaves a trail: every number links to its photo and its approver.
Therefore the next seam starts from a cleaner record than the last one. ๐ง
Why look now, honestly.
Statistics Canada, Q3 2025: 14.5% of all Canadian businesses planned to use AI.
In mining, quarrying and oil and gas, it was 3.4%.
So a CEO in this sector who looks this month is early, not late.
The CEOs who run cash this way keep 1 habit.
Every second Thursday, before the payroll pen comes out, they read that page.
๐ If you don't want a payroll Friday landing inside an unpaid invoice,
then comment CASHGAP and I will send you The Net-60 Cash Gap Calculator.
Payroll still runs every 2 weeks, but now you can see which invoice it waits on.
