Timesheets have always been tricky in K–12, but they’ve become even more challenging over the past few years due to a combination of regulatory pressure, workforce complexity, and increased scrutiny of overtime costs. Here’s why this problem is escalating:

Complex, Distributed Workforce

School districts employ:
- Teachers on contract hours
- Staff with varied shifts
- EA's who float between buildings
- Staff with split roles (e.g. half admin, half classroom)
- Hourly employees under union rules

Each group may have different:
- Work calendars
- Break and lunch entitlements
- Overtime thresholds
- Complex job codes

❗ Timesheets need to reflect all of that — and most generic solutions can’t.

We recently discovered a fantastic webinar on Digital Transformation in K–12, hosted by District Administration (DA), where presenters shared powerful insights and hard numbers about the true cost of paper in school districts.

As districts face tighter budgets and increasing demands for transparency, understanding the hidden costs of paper-based processes is more important than ever.
👏 Credit to DA for shining a light on the ROI behind digital transformation.

🚫 The Problem With Paper-Based Processes in Schools

Let’s talk about what paper really costs — beyond the budget line.

1. 🌎 The Environmental Toll

It takes 10 liters of water to produce a single sheet of paper. Multiply that by the millions of forms used across school districts—expense claims, timesheets, field trip approvals, staff evaluations—and the environmental impact is massive.

📉 And unless every sheet is properly recycled, much of it ends up in landfills.

👉 Shifting to digital isn’t just about saving time — it’s a powerful opportunity to teach environmental responsibility.

2. 💸 The Hidden Financial Drain

Paper isn’t cheap. And we’re not just talking reams and toner. Here’s where the real costs add up:

- Printing & copying: Thousands per year on supplies and maintenance

- Storage: Physical space taken up by archived documents

- Lost paperwork: Misfiles waste staff hours and create compliance risks

📲 A move to digital workflows doesn’t just streamline operations — it puts time and money back where it belongs: in the classroom.
