Watch for the usual signs: a new urgency, a slightly different sender address, a request to keep it quiet. Keep a note of who confirmed the change and when.

A regular vendor emails that their bank changed and asks you to update it before Friday's payments. Slow down.
Prompt: "Read this email asking to change a vendor's bank details. List every red flag and the steps to take before updating anything."

Never use the phone number or link in the email. Call the number you already have on file, and have a second person confirm the change before the next payment goes out.
A three-way match does its best work before you pay.
Check that the order, the receiving slip and the invoice agree on price and quantity. Hold anything that doesn't for review.

@lakeshoreledger Good one. It also helps to compare that liability balance to the sales tax return before filing, since a gap usually means a sale was coded wrong or a payment landed in an expense account.
@JMVFinancialSrv Matching each bill payment to its invoice during the monthly bank rec catches most of these too. Same vendor and same amount a few days apart is usually the giveaway.
@itsnathanhirsch Getting November reconciled and open questions out to clients in early December takes a lot of pressure off year-end. The fewer loose ends left for the last two weeks, the easier that no-travel rule is to keep.
@JTheAccountant Agreed. AI can sort transactions all day, but it can't read a contract and tell you when the revenue is actually earned. Someone still has to set the rules it follows and check the output against the source documents.
Most accounts payable work is reading and comparing. That's where AI helps: invoice capture, matching, vendor statements, payment runs.
Start with one step you can check. A person approves every payment.

@ListingMath Good add, thanks. Tax returns make a solid third check next to deposits and the P&L. If the three don't line up, that gap is the first thing to ask the seller about.
Buying a business means buying its cash flow, so the books are what you're paying for.
Before an offer, ask for 2-3 years of bank statements and tie deposits to reported revenue. If they don't match, start there.

A W-2 can make a $5.32M a long (and in many cases impossible) climb.
While it's not without significant risks (and headaches), this is what I love about small business ownership,
You can buy existing cash flow and let the business help pay for the dream!
@tyleruriah Good one. A short memo on both sides, like "to savings" and "from checking", helps too, so the match is still obvious when you reconcile months later.
@mattmcmichen Agreed. A good test is whether each account answers a question the owner actually asks. If nobody ever reads a line, it can probably be merged.
@DecentralisedA This is the part people skip. Totals tying out only proves the math, so a quick look at new vendors, changed bank details and manual journals is still worth doing every close.
@shaig Interesting results. Whichever model scores best, the safe setup for real books is the same: let it classify and draft, then check the bank rec and any journal entry yourself before it posts.
AI for accounts payable works best as a drafting step, not the approver.
Prompt: "From these invoices, list supplier, dates, total and a suggested expense account. Flag possible duplicates."
A person still approves every payment.

Bank balance won't tie to the books?
This free checklist prompt works in any AI chat tool. Paste your statement and book balances. It ties the two, flags stale outstanding items and lists the support to keep.
You still check every number.

Good reminder for anyone using AI with their books. Our rule: the AI tool never gets your bank login. Let the bank feed come into your books the normal way, export what you need, and paste it in. The AI drafts the matches. You approve each entry.

Banks are blocking AI agents that log in with customers' own passwords.
If your business runs on QuickBooks or Xero: who pays when one goes off-script, why business accounts get less cover, and a 10-minute check.

@cpapracadvisor Read access to practice data could save a lot of time on questions like which clients still have unreconciled accounts before close. Worth checking exactly what each connection can see and change before switching it on.
@mukund@AnthropicAI For anything touching the books I'd start it read-only: let it flag unmatched transactions and draft entries, and keep posting and payments with a person until it has earned trust.
