I run a marketing company. We took all of our data sources that we analyzized monthly across our 70+ clients and built a single platform that reviews the data daily.
We developed it in about 10 days using extremely well written PRDs.

The top 3 performing clients focused on two things equally. Consistent monthly marketing for new clients.
AND consistent monthly marketing to past clients.
No one is consistent about that second piece. Stay top of mind of past clients.
I’ve tried the systems approach social media to grow my personal channels. Starting today I’m going the random journal approach.

We have clients all over the US. Mostly doctors, lawyers, and engineers.
“We’re in real trouble”
An email I received in April from the VP of Marketing & Sales in May from one of our biggest medical practices.
10 minutes later, another email setting up a call to figure out what was going on. All hands on deck. We were going to figure this out fast.
Rewind to the beginning of April. I saw their numbers; Q1 was the biggest quarter in the company's 30-year history.
The data had a straight line from our work to these results.
None of our data suggested there were now issues less than 2 months later.
Quite the opposite. They had more calls. More bottom-of-funnel traffic than they’d ever had.
The next day, everyone jumped into a meeting and started to comb through the data.
Their tracked opportunities were falling through the floor.
Their phone calls were going through the roof.
Something was wrong.
I jumped onto their online scheduler. They were booked out until October, and we were currently in May.
VP- “that’s not true; I can get an appointment tomorrow!”
“Well, not according to your scheduler.” - I shot back.
This was the perfect storm. - The doctors had blocked out their schedules until October because no one followed up with the patients' booking online. These patients had a higher no-show rate.
Our phone tracking system has a feature that tags calls that were opportunities but not booked. Those calls were over 80%. They were closing less than 20% of the calls that qualified to be scheduled. (Industry average is 60%)
It took them 4 months to right the ship.
A new director of operations.
A new phone tree.
A new online scheduling procedure.
Educating the doctors on the importance of proper schedule management.
Q4 is back to Q1 numbers.
They are tracking opportunities daily now. Versus monthly. If something slips, they will fix it immediately.
I love sharing data across teams and companies to fix issues. In this case, it didn’t happen fast enough.
How do operations, marketing, and sales work better together so these issues don’t arise?
Do you track your client's phone calls?
One of our clients was closing less than 20% of qualified calls. (Industry average is above 60%)
We quickly saw this in the data and they were able to address and correct the issue.
Does anyone know how to string multiple Custom GPTs together? (Documentation says I can’t)
Or how would I create an Agent with Custom GPT functionality. I know how to string those together.

I’ve never liked the tools that exist for this.
